Simply Dom CommV processes personal data as a data controller. This statement explains what data we process, why, for how long, and what rights let you oversee that processing.

What data we process and why

Contact and enquiries

When you complete the contact form or email or call us, we process the data you provide yourself: your name, your company, your email address, optionally your phone number, and the content of your question, including any websites or channels you mention. We use that data solely to assess, answer and follow up on your enquiry.

Concierge, the AI assistant

On the website you can have a conversation with an AI assistant. The messages you type and the assistant’s replies are stored in a database within the European Economic Area, together with technical context such as the language and the page from which you started the conversation. We do not store an IP address or browser data with that conversation.

If you ask to be connected and leave your contact details for that purpose, those details are sent internally by email, along with a summary and the conversation history, so that we can help you further.

To draft the replies we rely on an external language-model provider, OpenAI. For this, the Concierge sends your message and relevant page context to OpenAI via the API to generate a response. Data processed through the business API is not used by OpenAI to train models by default. Under standard API processing, however, inputs and outputs may be retained for a limited period, currently up to thirty days, in the provider’s logs, unless a zero-data-retention configuration applies. Simply Dom’s own storage of the conversation is separate from this and is described above.

Website statistics

We measure website use at an aggregated level. Framer, which the website runs on, calculates daily unique visitors based on short-lived processing of the IP address and the browser user agent, without a cookie and without any lasting recognition of your device.

We also use Google Analytics 4, but only after you have consented to it via the cookie notice. As long as you do not give consent, Google Analytics is not loaded and no Analytics cookies are set. Google Signals and ad personalisation are switched off, and granular collection of location and device data is disabled for the countries of the European Economic Area. Google Analytics 4 does not log or store individual IP addresses; the IP address may be used briefly during processing to derive a coarse location, such as country or city. In Google Analytics, the retention period is set to 2 months for event data and 14 months for user data; the user-data counter restarts on new activity from the same visitor. Legal bases

We process your contact and enquiry data to take steps at your request prior to a possible agreement and on the basis of our legitimate interest in handling and following up business enquiries properly. The processing needed to answer your question does not rely on the box you tick in the contact form; that box only confirms that you have read this statement. Google Analytics relies on your consent, which you can withdraw at any time via the cookie settings at the bottom of the page.

How long we keep data

Data from enquiries that do not lead to an engagement is kept for up to 24 months after the last contact. Data related to an engagement is kept for as long as needed to carry it out and thereafter for the statutory retention periods, including for accounting obligations. Conversations with the AI assistant are kept so that we can follow up your enquiry and improve the assistant, no longer than needed for those purposes, and we delete them on request.

Who we share data with

We do not sell your data. We rely on service providers that process data on our behalf: Framer for hosting and website statistics, Cloudflare for the infrastructure and database of the AI assistant and for the internal email notification, OpenAI for the assistant’s replies, Google for Google Analytics after consent, and our email provider for our mailbox. These parties may only use the data for the task we assign them.

Transfers outside the EEA

Some of these providers, including the language-model provider, are established outside the European Economic Area or may process data outside the EEA. In that case we ensure appropriate safeguards as required by the General Data Protection Regulation.

Your rights

You have the right to access, rectification, erasure and restriction of your personal data, the right to object to certain processing, the right to portability of data you provided to us yourself, and the right to withdraw a consent you have given. Security

We take reasonable technical and organisational measures to protect your data against loss, misuse and unauthorised access.
